After a trip, the costs may be scattered across card payments, tickets, accommodation bookings, and receipts. A bank total alone does not show how much went to food, transport, or activities. In Ogarniacz, expenses belong to a specific trip and are visible to caregivers who share the family's data.
Where do I start?
Open Trips, select a saved trip, and choose Costs. Add a cost opens a form beside the button. You can enter one expense manually: add a name, amount, currency, and category; the date is optional. If you have a statement, use the photo or PDF import action in the same form.
Enter an amount with a decimal comma or point, or use valid thousands grouping with spaces, English separators (1,234.56), or German separators (1.234,56). The app rejects ambiguous input such as 1,234 instead of guessing its value.
If a cost recognized from a photo or PDF has invalid data, the message identifies the first item by number and name and tells you which field needs attention. Focus moves to that field, and corrections to the other costs remain in place.
When you start editing a cost or import suggestions, the form stays open if you switch trip tabs. Before closing it, choosing another cost, leaving the trip screen, or reloading the app, Ogarniacz asks whether to discard your unsaved changes. If you confirm, those edits are lost.
If the app closes before you finish or you return later, you can explicitly restore a text draft or corrected import result on the same device for up to 7 days. It is scoped to your account, family, and trip; it contains text and corrected fields only, never the source photo or PDF. Restoring reopens the form but does not add costs to the trip. You can also delete the draft.
An in-progress photo or PDF import belongs to the current trip and family. If you leave the screen or change account, family, or trip during file selection, reading, or analysis, its result will not be applied. Start the import again when you return.
Check the statement's date range first. A whole-month export may include everyday purchases before and after the trip. You will need to deselect or remove those entries during review.
Several expenses from one file
A photo or screenshot can show a transaction list, card payment, or receipt. One receipt counts as one expense, rather than one expense for every product. A PDF may have several pages, but it needs a readable text layer. Five pages alone do not make a statement too long: the current limits are about 7 MB for the file and 100,000 characters of extracted text. Longer text is analyzed in sections. If the PDF is a scan with no text layer, upload a screenshot or photo of a page. If the statement exceeds the limit or one section contains more than 50 recognized expenses, choose a shorter date range or split the file.
Import buttons show loading and are disabled during analysis. The result is a proposal for review, not a saved expense list. Check each item:
- Is it a trip expense rather than income, a refund, a balance, or a summary line?
- Do the merchant, date, amount, and currency match the source? For foreign currency payments, check the charged and converted amounts carefully.
- Does the category fit? You can change it before saving.
Deselect or remove entries you do not want. Save recognized expenses adds only the selected items.
Why are some costs deselected?
If a proposed expense has the same date, amount, and currency as a saved cost or an earlier selected entry in this import, Ogarniacz marks it as a possible duplicate and excludes it by default. This is a warning, not a certainty: two separate coffees on the same day can cost the same. Check the merchant and source; if they are distinct payments, you can select the second item yourself.
Finding a cost later
Totals appear separately for each currency. EUR and PLN are not combined into a misleading converted total. Tap a category in the chart, such as Food, to show only matching costs. You can clear the filter at any time.
The list initially groups entries with the same merchant name. All groups, including single expenses, start collapsed. The header shows the total and categories with icons. Expand a group to see each payment's date and amount. You can switch to grouping by date or category. Editing opens a form beside the selected expense, so there is no need to look for it at the bottom of a long list.
What is saved?
The source file is used for one-time analysis and does not become a PDF or photo archive in Ogarniacz. Only expenses you approve or enter manually are saved to the shared trip. A recoverable text draft expires after 7 days and does not include the source file. Automatic extraction can make mistakes, so compare important amounts with the statement before saving.
If you are still planning the trip, start with the packing list for a trip with a child. You can add costs to the same trip while travelling and after you return.
